Experiencing home-based dictation and new practice efficiency with a Crescendo mobility solution
Following a successful trial in the firm's Commercial Property Department, Nash & Co Solicitors, one of the oldest and most prestigious law firms in Plymouth, are set to roll out DigiScribe-XL digital dictation system from Crescendo firm wide. As a progressive law firm committed to technological solutions to improve client service, the firm had been looking into digital dictation technology as a means of replacing their old analogue equipment and curbing the unreliability and clarity issues associated with tape-based systems.
Why Crescendo
Nash & Co Solicitors have embraced the functionality available in the DigiScribe-XL system wholeheartedly and to great effect, as Simon Whitaker IT Manager at Nash & Co. explains: "We evaluated the leading solutions in the market over the last twelve months, however it was Crescendo who stood out head and shoulders above the rest. Remote dictation made real-time and secure
As Walker explained, one of the areas the firm was keen to see an instant take-up on was the use of the system remotely. Thanks to the Crescendo IP-based bandwidth management and streaming technology (Crescendo Wide Area Service), voice files are being recorded directly onto the server, ensuring that no copy is ever stored locally while preventing from potential bandwidth bottlenecks. Strictly workflow speaking, dictations, whether completed in the office or on the run, are immediately made available for transcription. The system also tells when the Secretary has begun typing the dictation and how long it may take. Walker comments: "Our Fee Earners are now able to use their laptops to dictate from home or wirelessly using ‘GPRS VPN' cards. This new mobility feature makes an invaluable difference to our business by accelerating the turnaround time of our reports in a way we never thought possible. Not to mention the obvious benefits from a daily practice perspective. I too have been dictating from home in real-time, which saves me time and makes my life a lot easier."
Workflow management made easy and efficient
The system was first implemented into the firm's Commercial Property Department with eighteen users involved in the trial and lead PA (Personal Assistant) Joanne Arnold who managed the workflow console and distribution of work when necessary says: "It has been absolutely brilliant from the first day we went live. The obvious benefits include superior quality of voice, full visibility over each dictation and increased control over the entire workflow environment." Each Secretary can also be assigned jobs individually or as part of a Transcription pool. As a Supervisor, Mrs. Arnold can redistribute work per any criteria, whether it is Work Type, Author ID, Priority and so on. "I can now see which Secretaries may be carrying a backlog and redistribute it across to others. As far as their working conditions are concerned, they keep telling me how they wish DigiScribe-XL had been implemented sooner!" says Arnold.
Technology for the future
"The system does all the things that we expected it would. For the first time, we are able to guarantee the turnaround time on certain dictation types when we need to.
