London-based inventory company reduces report turnaround from days to hours
LetCheck Inventories is a rapidly expanding company based in London, which carries out reports for letting agents, where report turnaround impacts on tenants' deposit returns. In order to maintain and expand their services, LetCheck needed to ensure they offered a competitive level of service over the other players. The firm thereby looked at digital dictation technology as a way to streamline documentation workflow.
From delivery requirement to new added value
One important part of the overall service was the turnaround time between reports being dictated and the final report being typed. This process could take days to complete as tapes needed to be sent from the inventory clerk to the head office and then onto the remote secretaries for typing. Generally, each report was taking approximately 3-4 days to complete, providing that nothing went wrong such as delayed postage or tapes lost in the post.

We have converted our analogue-based dictation over to digital and reduced the report turnaround times down from days to just hours. The entire dictation and transcription process is handled by the Crescendo system, ensuring secure delivery and immediate access to the dictations, which are stored safely at our office. Our remote secretaries connect through the Internet to access DigiPlayer-IP a unique Crescendo application that allows them to play, control and transcribe CD-sound quality voice files in real-time, directly via their home-based PC. Typed reports are then returned back to the head office for completion."
A comprehensive, well supported solution
"Just continue to dictate as you are used to", was the only instructions the clerks were given. Equipped with professional Olympus digital recorders, the clerks simply upload their completed dictations to the main office for the administrators to distribute to available secretaries working from home. The secretaries are then notified of the new dictations to transcribe. Typed reports are then e-mailed back to the office for the process to be completed.
"We looked at a number of alternative solutions to improve this part of our service, but it was Crescendo who offered the most suitable system for our needs.
